Reservations

Hotel accommodation can be reserved at Emperors Palace through the intermediary of Turners DMC who have secured preferred rates for participants. All rates quoted on the hotel booking form are in South African Rand and are per room and per night, breakfast, VAT at 15% and 1% TOMSA Levy are included.

Hotels within the Emperors Palace precinct operate daily at full capacity. In order to avoid disappointment, we urge delegates to reserve their accommodation once travel plans have been finalised. Reservation requests received after the 14th June 2019 will be reserved off hotel availability, the negotiated rate will still apply.

Confirmation of Hotel Reservation

All hotel reservations will be confirmed to you in writing upon receipt of full payment. The confirmation will list the name of the hotel, the type of accommodation booked, the arrival and departure dates including the rate and total accommodation spend.

Accommodation check in time at all hotels is after 15h00 on day of arrival and check out is before 11h00 on day of departure.

All hotels located with Emperors Palace will endeavor to accommodate requests for early check in or late check out where possible. In order to guarantee early check in, you will be required to reserve and pay for the room the night before. Late check out fee is R100.00 per hour or part thereof; late check out is subject to availability at time of request.

Payments

Full prepayment is required to secure the hotel booking. On receipt of invoice, payment will need to be processed within 72 hours. Payment may be paid either by bank transfer or by MasterCard, Visa, American Express or Diners Club credit cards. Full details appear on the booking form.

All hotels will request a credit card in order to secure a pre-authorisation for incidentals you may charge to your rooms account. All incidentals are to be settled with the hotel prior to departure. Turners Conferences, the Association nor the event will be held liable for incidental charges.

For all group bookings (10 rooms or more), a 50% deposit will need to be paid on receipt of the first invoice, the outstanding balance needs to be settled by the 14th June 2019.

Changes and Cancellations

Cancellations must be submitted to Turners Conferences in writing. You may cancel your reservation up to 13th May 2019 with a full refund of your payment paid less an administration fee of ZAR230.

• Reservations cancelled between the 14th May 2019 and 13th June 2019 will attract a 50% cancellation fee.
• Reservations cancelled from the 14th June 2019 will attract a 100% cancellation fee.

An amendment fee of ZAR230.00 applies to all changes made to confirmed reservations after the 14th June 2019.

Should you reduce the length of your stay upon arrival at the hotel, the hotel will charge cancellation fees for the nights that you will no longer be using.

Hotels & Rates

The following hotels have been especially reserved for the congress and preferential rates have been negotiated.

Hotel rate is inclusive of VAT at 15% and Tourism Levy of 1%.

Single Occupancy: A single person occupying a room which has a king, queen or standard double bed.
Twin Sharing: Two persons sharing a room which has either one standard double beds with two ¾ beds or a room with two ¾ beds.
Double Occupancy: Two persons occupying a room which has a king, queen or standard double bed.

SPECIAL NOTE: All Classic and Superior rooms at Peermont Metcourt have privacy curtain separating bedroom from open plan bathroom.
